Introduction

IMP is a web-based E-mail program that anyone can use to check their E-mail. IMP makes it possible to check E-mail using the web rather than a mail client. Users can check their E-mail from any location, but the E-mail is left on the server where it cannot be accessed by other users of the same workstation.

Capabilities

Using IMP, you can:

  • View, delete, reply to, copy, move, forward, bounce and save E-mail
  • Create, name and delete E-mail folders. Folders allow you to sort your mail by categories such as: Work, Hobbies, Friends and so on.
  • Sort E-mail by date of arrival, making it easier to find a specific E-mail.
  • Create a personal signature that goes at the end of each of your E-mails: Personalizes your E-mail.
  • Change your original full name or E-mail address
  • Choose your language preference
Requirements

The only requirements for using IMP are access to the application via a web server, an account and a password for an IMAP server.

IMP can be used on both Netscape Navigator and Microsoft Internet Explorer (both 4.x versions).

 

Getting Started

Login
  1. Enter:
    • Username - Enter your full username that you use to get your E-mail.
    • Password
  2. Click login
Get E-mail

When you open IMP, the first screen you see after login is the INBOX. All E-mail comes to the Inbox folder. Each time you open IMP, you automatically receive all new E-mail. If you leave E-mail open, then you can click INBOX in the upper left pulldown list of the available folders, or Check Inbox in the navigation bar to get new E-mail.

Navigation bar

On your IMP screens, the navigation bar allows you to move easily through the application. After you receive E-mail, you can perform other functions such as sort the E-mail into folders, reply to it, delete unwanted E-mails and so on. The following table tells you which link to click for the function you want to perform.

Contacts (Addressbook)

Click this to add, change or delete addresses in your E-mail address list.

Check Inbox

Click this to open the Inbox folder. All new E-mail arrives here. While you are in the INBOX folder, you can: delete, undelete, copy, move and open E-mail.

Click on the E-mail you want to open (in Subject column). From the E-mail you can: delete, reply, reply to all, forward, bounce and save as.

Compose

Click this to open an E-mail form that only contains your E-mail address and signature.

Folders

Click this to create, rename or delete folders. You can use folders to sort and organize your E-mail.

Preferences

Click this to set the preferences for your E -mail including: signature, full name, E-mail address and language preferences.

Logout

Click this to exit the IMP application.

 

IMP Functions

With IMP you can view your E-mail securely from any remote location without downloading it from the server. IMP allows you to read, reply to, move, copy, forward, bounce and delete E-mail. You also can create and name folders to organize and store your E-mail. Under Preferences, you can create a personal signature that goes at the end of each of your E-mails, change your original full name or E-mail address and choose your language preference.

Check Inbox

About Check Inbox:

  • All E-mail first comes to the Inbox.
  • Every time you click Check Inbox or select INBOX in the upper left pulldown list of folders, IMP checks for new E-mail.
  • You cannot delete or rename this folder as you can other folders.
  • To learn the details of functions within the Inbox, see the Functions Available in the Folder section of this manual.
Functions Available in the Folder

Functions that are available when you are in the folder include: delete, undelete, move and copy. This is also where you must be to receive or open your E-mail. Once the E-mail is open, see the Functions Available When Viewing an E-Mail section of this manual for further instructions.

Navigating folder pages

The total number of E-mails per folder page is limited to 50. Any E-mail over 50 automatically moves to a new page. When you have more than 50 E-mails, you see the following graphic at the top of the page. It shows you the page number you are on and how many total pages there are in the folder. Use the arrows to navigate to the next folder page of E-mail messages.

You can return to the Inbox by clicking Check Inbox in the navigation bar. You can return to any folder, including the Inbox, by clicking on the back to (folder) link on the top right of the screen.

Inbox (and other folders) column headings

Column headings in the Inbox (and other folders) mean:

  • (Sort icon) There are two ways the Sort column is used.
    1. To sort messages by age, click Date column header (sorts the E-mails by date received (or, if received on current day, then sorts by time of day). Click the Sort icon. E-mails are sorted. If oldest is now at the top, click the Sort icon again and the most recent E-mail is now at the top. The default Sort is oldest message at the top. If you change the Sort order to newest E-mail at the top, there is currently no way to save this order. When you open the folder again, the default sort mail is shown.
    2. Use the check box in the (Sort) column to select E-mails for deletion, moving, copying, replying to and so on. Click Select All to select all check boxes. Click Select None to clear all check boxes.

  • Subject¾message sender entered in Subject text box of E-mail. When you click on the E-mail's Subject, you open the E-mail.
  • Size¾shows size of E-mail
  • Unnamed column shows icons for E-mail type (text, graphics, etc.)

Delete E-mail from a folder:

  1. Select the check box of the E-mail you want to delete.
  2. Note: You can click Select All to select all E-mail for deletion. You can individually clear an E-mail check box by clicking on it, or you can click Unselect All to clear all check boxes.

  3. Click Delete at the top of the folder screen.
  4. The trash can icon appears beside each E-mail you want to delete, and E-mail is shaded.
  5. Click Empty Trash to actually remove these E-mails from the folder.

Undelete E-mail

When E-mail is in the folder, you can undelete it if you have not already clicked empty trash. Once you click empty trash, the delete is final.

  1. Select the E-mail you want to undelete by selecting its check box in the (Sort) column.
  2. Click undelete.

Move E-mail

To move E-mail from one folder to another folder:

  1. Select the E-mail you want to move by selecting its check box.
  2. Select the folder you want to move the E-mail to by using the folder pulldown list in the upper right of the screen (next to Move/Copy).
  3. Click Move.

Copy E-mail

To copy E-mail from one folder to another folder:

  1. Select the E-mail you want to move by selecting its check box.
  2. Select the folder you want to copy the E-mail to by using the folder pulldown list in the upper right of the screen (next to Move/Copy).
  3. Click Copy.

Select All E-mail

Selects all E-mail files in the open folder by placing a check in the (Sort) column check box.

Select None

Deselects all E-mail files in the open folder by clearing all checks from all (Sort) column check boxes.

Empty Trash

If you delete E-mails, you must click empty trash as the final step to remove the trash can-tagged E-mails from the folder.

Reply to E-mail (while in the folder view)

You can reply to E-mail several ways when in the folder view:

  • Click on E-mail in the Subject column. A reply screen opens that includes the sender's message.
  • Click the address of the sender in the From column. A reply screen opens that only includes your address, sender's address, and your signature in the Message text box (if you set one up).
  • Click Compose in the navigation bar. A Message Composition screen opens with only your address and signature.

Note: When you viewing the E-mail and not the folder, you can click reply or reply to all to answer an E-mail.

Functions available when viewing an E-mail

The functions that are available when you are viewing the E-mail include: delete, reply, reply to all, forward, bounce, save as, go back to the folder, view the previous or next E-mail, or choose another item from the navigation bar.

View E-mail:

  1. Click the E-mail in the Subject column to open it.
  2. Note: To view old E-mail that you previously moved to another folder, you must select that folder in the list box in the upper left corner.

  3. While you are in the E-mail view, you can perform these functions:
    • delete
    • reply
    • reply to all
    • forward
    • bounce
    • save as
    • back to (INBOX or other folder)
    • (view Previous/Next E-mail without returning to the folder view)
  4. Click back to (folder) link.

Delete an E-mail when in the E-mail view:

  1. Click on E-mail in the Subject column of the folder.
  2. E-mail opens.
  3. Click delete.
  4. Folder appears with the E-mail shaded.
  5. Click empty trash.
  6. E-mail is deleted and removed from the folder.

Reply to an E-mail when in E-mail view

  1. Click reply.
  2. Reply form opens.
  3. From and To are automatically filled in.
  4. CC¾ type the E-mail address of anyone you want to send of copy of this E-mail.
  5. Subject¾ is automatically filled in if the E-mail that was sent to you had the subject entered. You can change it by highlighting and typing over the current text.
  6. Attachment¾ use the Browse button to find the file you want to attach. When you open the file, it appears in the Attachment text box, but you must click Attach button to actually attach the file to your E-mail.
  7. Type your message in the text box. You can leave the original E-mail message and add your text or you can highlight the original message first and delete.
  8. Click Send Message.

The message is sent and the folder opens. There is a Ö in the ? column beside the E-mail to which you replied.

Reply to all:

Works exactly as the Reply function works except it sends a copy of the E-mail to all E-mail addresses that were on the original E-mail. Click reply to all rather than reply to open the form.

Forward an E-mail

  1. Click forward while in the E-mail view.
  2. Forwarding form opens.
  3. From line is automatically filled.

  4. Enter the E-mail address of the recipient.
  5. Type the E-mail address of anyone you want to send of copy of this E-mail to in the CC line.
  6. Subject is automatically filled in if the E-mail that was sent to you had the subject entered. You can change it by highlighting and typing over the current text.
  7. Use the Browse button to find the file if you want to attach a file. When you open the file, it appears in the Attachment text box, but you must click Attach to actually attach the file to your E-mail.
  8. The message to forward is in the text box. You can edit the message.
  9. Click Send Message.

In the folder, you now see Fwd beside the E-mail that you forwarded.

Bounce an E-mail

  1. Click Bounce.
  2. Note: Bounced mail appears to come from the sender and go directly to the person whose E-mail address you entered. There is no record of the E-mail coming from you.

    Note: When bouncing a message (using Internet Explorer browser), you get a script error message. Click Cancel. The bounce is not affected. See Known Bugs section of this manual.

  3. Bounce This Message screen opens.
  4. Enter the E-mail address of the person to whom you want to bounce this mail.
  5. Click Bounce Message.

Message is bounced and you are returned to the folder view.

Save As when using Netscape

  1. Click Save as when you are in the E-mail view.
  2. Unknown File Type message opens.

  3. Click Save File.
  4. Security warning appears.

  5. Click Save it to disk.
  6. ("Always ask before opening this type of file" is optional.)

  7. Select the location for the file: choose the folder (if any) to save to, choose a new file name and file type (or accept the default values).
  8. Click Save.

When you click Save as, this screen opens. The four options include:

  • More Info¾ message about Netscape Plug-ins. No plug-ins are applicable.
  • Pick App¾ Configure External Viewer message.
  • Save File¾ opens screen that allows you to name the file and place it where you want.
  • Cancel¾ cancels Save as.

Security warning when doing a Save As

This security warning appears each time you click Save as when saving an E-mail. Your three options include:

  • Open it¾ opens the E-mail file
  • Save it to disk¾ opens the Save As screen
  • "Always ask before opening this type of file"¾ if you select this box, you will always see the warning message about the security risk. If you do not want to see this security warning, clear this check box.
  • OK¾ click OK to accept chosen options.
  • Cancel¾ click Cancel to quit the Save As.

 

Save As (using Internet Explorer)

If your Browser is Internet Explorer, you will get this message when you click Save As. Click the X to close. Save As will continue.

Attachments

To attach a file to an E-mail:

  1. Click Browse to locate the files you want to attach to your E-mail.
  2. Click Open.
  3. Click Attach.

Note: Even though the name of the file you chose appears in the Attachment text box, it is not attached until you click Attach.

Compose

You can send an E-mail by clicking Compose in the navigation bar. This opens a new form with only your address entered in the From text box and your signature entered in the large message text box (if you set one up).

Note: If you click on the sender's name under the From column in the folder, then click Reply, you also open a Message Composition screen. However, the message area quotes anything that was in the sender's Message text box, including his message and signature. To, From and Attachment text boxes are also filled with information from the sender's mail. (All of sender's text is preceded by > symbol.) If you are using a signature on your E-mail, it is automatically entered at the bottom of the Message text box.

Folders

You can add, rename or delete folders for E-mail storage or organization in this screen. All folders are designed and act the same way with one exception, the INBOX. The INBOX folder cannot be renamed or deleted. The INBOX is where all E-mails are received. See the Functions Available in the Folder section of this manual for details.

Create a folder:
  1. Click Folders in the navigation bar.
  2. Folder screen opens.

  3. Enter the name of the folder in the text box under Create a new folder.
  4. Click Create this folder.

The new folder appears in all pulldown lists of folders.

Rename a folder
  1. Click Folders in the navigation bar.
  2. Folder screen opens.

  3. Under Rename a folder, use the pulldown list to select the folder you want to rename.
  4. Enter new name for this folder in the To text box.
  5. Click Rename this folder.

The newly renamed folder appears in all the pulldown lists of folders.

Delete a folder
  1. Click Folders in the navigation bar.
  2. Folder screen opens.

  3. Under Delete a folder, use the pulldown list to select the folder you want to delete.
  4. Click Delete this folder.

The newly deleted folder no longer appears in any of the pulldown lists of folders.

Preferences

In this screen you can edit your signature, full name and E-mail address. You can also choose your language preference.

Edit your signature
  1. Highlight and delete any existing text
  2. Type the text you want to appear at the bottom of all your E-mails.
  3. Click Save preferences
Edit your full name
  1. Highlight and delete any existing text
  2. Type the new full name.
  3. Click Save preferences
Edit your E-mail address (from: text)
  1. Highlight and delete any existing text
  2. Type the new E-mail address for the From text.
  3. Click Save preferences
Choose your preferred language
  1. Use the list box to select your language preference.
  2. Note: Russian font (Cyrillic) not supported at this time.

  3. Click Save preferences
Contacts

Using this screen, you can Add, Update or Remove an entry from your Contacts list.

Add an entry to your Contacts:
  1. Enter the new E-mail address in the Address text box.
  2. Enter the nickname for this E-mail address in the Nickname text box.
  3. Enter the full name associated with this E-mail address in the Fullname text box.
  4. Note: All fields must be filled in order for an address to be added.

  5. Click Add Contact.
  6. To see if this address has been successfully added to your Contacts lists, look in the Contacts pulldown list box.
Update an entry in your Contacts:
  1. Select the address you want to update in the Contacts pulldown list box.
  2. Note: The current information for this address appears in the text boxes for New Address, New Nickname and New Fullname.

  3. Make changes to this information in the text boxes.
  4. Click Update Contact.

Remove an entry from your Contacts:

  1. Select the address you want to delete in the Delete pulldown list box.
  2. Click Delete Contact.
  3. The deleted address is no longer in the pulldown list of your Delete text box.
Logout

Log out

To exit IMP, click Logout in the navigation bar. The login screen opens with a message that you have been logged out.

Tips

Tip

Attachment

You thought you attached a file but it did not arrive. You did use the Browser to put the name of the file in the Attachment text box, but you forgot to click Attach.

Sort by date

You sorted by date and the next time you clicked Check Inbox, the sort was reversed. The sort is not savable. It returns to the default when you click Check Inbox next time.

Sort

You sorted by Date by see a time in the table instead of a date. On the current day, all E-mails are sorted by time.

Browser back button

Use the navigation bar links, if the back button on the browser says your data has expired, etc.

You are in the one folder, but see the name of another folder in the folder pulldown box. Click on the small folder icon you see to the left of the folder pulldown box. This takes you to the folder that you selected in the pulldown box.

Size, From and Subject

These column headers look like links, blank the screen for a second, but do not do anything or go anywhere. Only the Date header works, it sorts by date/time. (Future development will add functions to these.)

Spell Check

Can be used while composing a message. Click on Spell Check while composing a message and the misspelled words will be in red.

Previous/Next arrows disappeared from my E-mail

If you have a large number (100-150) E-mails in a folder, these arrows disappear. Return to the folder view and move some files to another folder.

back to (folder) link

Get in the habit of using the back to (folder) link in the upper right of screen to return to the folder. There are other ways of returning to the folder, but a function is under development that will take you to the exact page of the folder that you were in.
